Privacy Policy

Effective Date: June 4, 2025
Business Name: Integrity Elite Travel
Website: www.integrityelitetravel.com

1. Introduction

At Integrity Elite Travel (“IET,” “We,” “Us,” or “Our”), we are committed to protecting your personal information and your right to privacy. This Privacy Policy explains what information we collect, how we use it, with whom we share it, how long we retain it, and the rights you have with respect to it.

This policy applies to all information collected through our website (www.integrityelitetravel.com), email and phone communications, and any related services, sales, marketing, or events (collectively, our “Services”).

Please read this policy carefully. If you disagree with its terms, please discontinue use of our Services.

2. Information We Collect

We collect information you provide directly to us, information collected automatically when you use our Services, and information received from third parties.

a) Personal Information You Provide:

• Full name, email address, phone number, mailing address

• Date of birth and passport or government-issued ID details (where required for bookings)

• Travel preferences, dietary requirements, accessibility needs, and special requests

• Emergency contact information

• Correspondence and communications you send us

b) Payment Information:

We do not store full credit card numbers. Payments are processed securely through third-party processors (e.g., Square). Those processors are governed by their own privacy and security policies. We may retain the last four digits of a card number, cardholder name, and billing address for record-keeping purposes.

c) Automatically Collected Usage Data:

• IP address, browser type, operating system, and device identifiers

• Referring website, pages visited, and date/time of visits

• Cookie identifiers and analytics data (see Section 9 — Cookies)

d) Sensitive Personal Information:

In some cases, we may collect health-related or accessibility information (e.g., dietary restrictions, mobility requirements) solely to facilitate travel arrangements. We collect this only with your explicit consent and use it for no other purpose. We do not collect financial account numbers, Social Security numbers, or government ID numbers beyond what is required by specific Suppliers for booking.

3. How We Use Your Information

We use the information we collect for the following purposes only:

• To book and manage travel reservations and fulfill service requests

• To communicate with you regarding your bookings, itineraries, and travel documents

• To send transactional emails such as booking confirmations, payment receipts, and travel reminders

• To send marketing communications, newsletters, or promotions — only where you have opted in or where permitted by law

• To respond to inquiries and provide customer support

• To improve our website, services, and business operations

• To comply with applicable legal and regulatory obligations

• To protect against fraudulent, unauthorized, or illegal activity

We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects without your explicit consent.

4. Sharing of Information

We share your personal information only in the following limited circumstances:

a) Travel Suppliers:

We share necessary personal information with airlines, cruise lines, resorts, hotels, tour operators, and destination management companies solely to complete your booking. Each Supplier operates under its own privacy policy. We recommend reviewing those policies before traveling.

b) Service Providers:

We may share information with trusted third-party vendors who help us operate our business (e.g., email marketing platforms, CRM software, payment processors, website hosting). These providers are contractually required to use your data only on our behalf and to maintain appropriate confidentiality and security.

c) Legal Obligations:

We may disclose information when required by law, subpoena, court order, or government regulation, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of IET, our clients, or the public.

d) Business Transfers:

In the event of a merger, acquisition, restructuring, or sale of assets, your personal information may be transferred to the acquiring entity. We will notify you via email and/or a prominent notice on our website before your information becomes subject to a different privacy policy.

We do not sell, rent, trade, or otherwise disclose your personal information to unaffiliated third parties for their own marketing or commercial purposes.

5. Data Retention

We retain your personal information for as long as necessary to:

• Fulfill the purposes described in this Privacy Policy;

• Maintain records required by applicable law (including California tax and consumer protection regulations);

• Resolve disputes, enforce agreements, and protect our legal rights.

In general, client booking and transaction records are retained for a minimum of seven (7) years in accordance with standard business and tax record-keeping requirements. Marketing opt-in records are retained for the duration of the relationship plus three (3) years. Upon written request, we will delete personal data that is no longer legally required to be retained.

6. Your Privacy Rights

Depending on your location, you may have the following rights with respect to your personal information:

California Residents — California Consumer Privacy Act (CCPA) / CPRA:

• Right to Know: You may request a copy of the personal information we have collected about you in the past 12 months, including the categories, sources, purposes, and third parties with whom it was shared.

• Right to Delete: You may request deletion of personal information we hold, subject to certain legal exceptions.

• Right to Correct: You may request correction of inaccurate personal information.

• Right to Opt Out: You may opt out of the sale or sharing of your personal information. We do not sell personal information; however, this right is acknowledged and honored.

• Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights.

All Clients:

• You may opt out of marketing communications at any time by clicking “Unsubscribe” in any email or by contacting us directly.

• You may request access, correction, or deletion of your personal data by emailing stacey@integrityelitetravel.com.

We will respond to verifiable consumer requests within 45 days as required by the CCPA. If we require additional time (up to an additional 45 days), we will notify you in writing.

7. Data Security

We take the security of your personal information seriously and implement commercially reasonable administrative, technical, and physical safeguards designed to protect it from unauthorized access, disclosure, alteration, or destruction. These measures include:

• Encrypted transmission of data via SSL/TLS protocols

• Use of reputable, PCI-compliant third-party payment processors

• Access controls limiting who within our organization can access personal data

• Secure storage and disposal of physical records containing personal information

Despite these measures, no method of electronic transmission or storage is 100% secure. You acknowledge and accept that you share personal information with us at your own risk. In the event of a data breach that is likely to result in harm to affected individuals, we will notify impacted clients and applicable regulatory authorities in accordance with California law (California Civil Code § 1798.82) and any other applicable breach notification statutes.

8. Data Breach Notification

In the event we discover or are notified of a security breach affecting your personal information, Integrity Elite Travel will:

• Contain and assess the breach as promptly as reasonably possible;

• Notify affected clients via email to the address on file within the timeframe required by applicable California law (no later than 45 days after discovery, except where delayed by law enforcement);

• Provide a description of the nature of the breach, the categories of information affected, and steps clients can take to protect themselves;

• Notify the California Attorney General if the breach affects more than 500 California residents, as required by Cal. Civ. Code § 1798.82.

We maintain an internal incident response procedure and will cooperate with law enforcement and regulatory authorities as required.

9. Third-Party Websites & Links

Our website may contain links to third-party websites, including Supplier booking portals, social media platforms, and travel resources. These sites are governed by their own privacy policies, which may differ materially from ours. We are not responsible for the content, privacy practices, or security of any third-party websites. We encourage you to review the privacy policy of every site you visit.

The inclusion of a link on our website does not imply our endorsement of the linked site or its privacy practices.

10. Cookies & Tracking Technologies

We use cookies and similar tracking technologies (e.g., web beacons, pixels) to enhance your browsing experience, analyze site traffic, and support marketing efforts. The types of cookies we may use include:

• Essential Cookies: Required for basic website functionality. The site cannot function properly without these.

• Analytics Cookies: Used to understand how visitors interact with our site (e.g., Google Analytics). Data collected is aggregated and anonymized.

• Marketing/Advertising Cookies: May be used to deliver relevant content and track the effectiveness of marketing campaigns.

You can control cookie preferences through your browser settings or, where available, through our cookie consent tool. Please note that disabling certain cookies may affect website functionality. By continuing to use our website without adjusting your cookie settings, you consent to our use of cookies as described in this policy.

11. Children’s Privacy

Our Services are not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have inadvertently collected personal information from a child under 13 without verifiable parental consent, we will delete that information as quickly as practicable.

If you are a parent or guardian and believe your child has provided us with personal information without your consent, please contact us at stacey@integrityelitetravel.com and we will take prompt corrective action.

12. International Data Transfers

Because IET facilitates international travel, your personal information may be shared with Suppliers and service providers located outside of the United States. Data protection laws in other countries may differ from, and may provide less protection than, the laws of California or the United States.

By using our Services and booking international travel, you acknowledge and consent to the transfer of your personal information to countries outside the United States as necessary to complete your booking. We will take reasonable steps to ensure that international Suppliers receiving your data are reputable businesses operating under enforceable confidentiality and data protection obligations.

13. Do Not Track Signals

Some browsers include a “Do Not Track” (DNT) feature that signals websites not to track your online activities. At this time, our website does not respond to DNT signals. We will update this policy if our practices change in the future. You may manage tracking preferences through your browser settings or by opting out of specific analytics and advertising services where opt-out mechanisms are provided.

14. Limitation of Liability for Privacy-Related Claims

To the fullest extent permitted by applicable law, IET’s liability for any privacy-related claim, including any unauthorized access to or disclosure of personal information, shall be limited to direct damages actually incurred and shall not exceed the total fees paid by you to IET in the twelve (12) months preceding the event giving rise to the claim.

IET shall not be liable for any indirect, incidental, consequential, punitive, or special damages arising from privacy-related claims, including unauthorized access to data held by third-party Suppliers or service providers over whom IET does not exercise direct control.

15. Updates to This Policy

We may update this Privacy Policy from time to time to reflect changes in law, our business practices, or our data handling procedures. When we make material changes, we will:

• Update the “Effective Date” at the top of this page;

• Post the revised policy on our website;

• Where required by law or where the changes are significant, notify you by email to the address on file.

Your continued use of our Services after any update constitutes your acceptance of the revised policy. We encourage you to review this policy periodically.
